Booking, Reschedule & Cancellation Policy

Japanese Personal Study Sessions • Policy Version 1.0

This policy explains how session bookings, reschedules, cancellations, late arrivals and payment verification are handled. Booking a session means you agree to the policy version shown above.

Core Rules

Rescheduling A student may request a reschedule at least 12 hours before the scheduled session. Each booking may receive a maximum of 1 approved reschedule(s). A requested new slot is not reserved until the teacher approves the request.

Cancellation A student may request cancellation at least 12 hours before the scheduled session. When an eligible cancellation is approved, the payment is normally kept as credit toward another session rather than returned as cash. Any credit arrangement is handled directly with the teacher and depends on available session times.

Late cancellation / no-show Cancellation inside the notice period, or not attending the booked session without an approved change, is normally non-refundable and the session credit is lost. Emergency situations may be discussed directly with the teacher.

Late arrival If the student joins late, the session still ends at the originally scheduled end time.

Teacher cancellation If the teacher must cancel the session, the student may choose either a full refund or a free reschedule.

Payment verification Uploading a payment slip does not automatically confirm a booking. The booking remains pending until payment is manually verified. An unverified pending booking may automatically expire and release the session slot.

How online requests work

Eligible students can use their private Manage Booking link to request a reschedule or cancellation. Requests are reviewed by the teacher. A request is not final until it is approved.

If the online request window has already closed but there is a genuine emergency, contact the teacher directly through the configured WhatsApp contact. An exception is not guaranteed.

Session එක වෙනස් කිරීමට හෝ cancel කිරීමට සාමාන්‍යයෙන් session එකට අවම වශයෙන් 12 පැයකට පෙර request එකක් දාන්න. Booking එකකට සාමාන්‍යයෙන් approved reschedule එකක් පමණක් ලැබේ. Late cancellation / no-show අවස්ථාවල payment එක refund හෝ credit නොවිය හැක. Teacher විසින් session එක cancel කළොත් full refund එකක් හෝ free reschedule එකක් තෝරාගත හැක.
