Japanese Personal Study Sessions • Policy Version 1.0

This notice explains what information is collected when you book a personalized Japanese study session, why it is used, and how long it is normally kept.

Information collected

The booking system may collect your name, age, WhatsApp number, Japanese-learning level, Kanji and grammar self-assessment, areas where you need help, messages you submit, session date/time, payment status, uploaded bank payment slip, and any reschedule/cancellation request.

Why the information is used

The information is used to arrange and manage your session, verify payment, communicate about your booking, prepare personalized study support, handle reschedule/cancellation requests, and maintain necessary booking records.

Services used

CloudflareHosts the public website and securely routes website requests to the backend.

Google Apps ScriptProcesses booking and administration actions.

Google SheetsStores booking/session records.

Google DriveStores uploaded payment slips and private system backups.

Google CalendarMay store confirmed session times and scheduling information.

Normal retention periods

Completed/active booking records 12 months after the session.

Cancelled/rejected/expired records 6 months after the relevant session/booking date.

Payment slips 6 months after the session.

Private teacher notes 12 months after the session.

Automated maintenance may remove records after these normal retention periods. Some minimal information may need to be kept longer where reasonably required to resolve a dispute, comply with an applicable legal obligation, or protect the integrity of the booking system.

Your requests

You may contact the teacher through the WhatsApp contact used for the booking service to ask about, correct, or request deletion of your personal information. A deletion request may be limited where information still needs to be retained for a legitimate booking, payment, dispute, or legal purpose.

Security and private links

Payment slips and booking records are intended to be kept private. Your Manage Booking link contains a private credential. Do not post or forward that link publicly.
